Madison West Coast Swing Club is committed to protecting the health, safety, and comfort of its members and the dance community as a whole. In the ever-changing landscape of the COVID-19 pandemic, and in accordance with recommendations of the CDC, we will be doing everything we can to balance dancer safety and enjoyment as we continue events this year.
MWCSC will always comply with local and federal guidance and requirements, and reserves the right to enact stricter safety measures because social dancing is a very high risk activity for spreading and contracting communicable diseases such as COVID-19.
MWCSC will require up-to-date vaccinations for all event attendees for the foreseeable future. This policy is reviewed by the board of directors at least every 90 days.
Entry into events will require proof of up-to-date vaccination in the form of a vaccination card (either physical or a legible photo) and a matching photo ID. In order to be considered fully vaccinated for the event, your initial series final vaccination dose must have been received at least two weeks before the event date. Furthermore, you must also have received a booster dose if eligible.
MWCSC will maintain internal records of members who have provided proof of vaccination, but this will not include any specific personal health information or images pertaining to their vaccination cards. Members may opt out of having their vaccination status recorded, but they will then need to show proof at every event they attend.
Attendees who falsify their records or intentionally mislead MWCSC of their vaccination status will be asked to leave the event immediately and receive a lifetime ban from MWCSC events and no refund for either the event ticket or paid membership dues.
While we appreciate that some members may have medical conditions which prevent them from getting vaccinated or may be uncomfortable with vaccinations, we will not be able to accommodate those members for in-person events at this time. MWCSC advises against attending if you live with or are in regular close contact with individuals who are unvaccinated or otherwise at very high risk.
MWCSC will require face masks at events:
- When a public health order requires it or strongly recommends it for high-risk activities.
- When the host venue requires it.
- When the CDC classifies Dane County as a “high” or “medium” community level for COVID-19.

When face masks are required, they must be worn completely over the mouth and nose while inside the building, and may only be removed when actively eating or drinking. Masks that provide better protection, such as N95/KN95/KF94-rated masks, or surgical masks, are strongly recommended as opposed to cloth masks.
If you need a “mask break” at an event that requires them, please feel free to step outside the building at any time and return when you are ready.
Attendees that do not follow face mask requirements at an event may be asked to leave without a refund.
Other Health Considerations
Events may have capacity limits set in order to prevent overcrowding. Hand sanitizer will be provided, and we encourage you to use it or wash your hands regularly.
Expected event health policies will be stated on our website and communicated through email when events are announced. However, it is possible the event policy may change up until 24 hours prior to the start of the event, should any of the decision criteria change in the interim. Any multi-day event, such as a lesson series, that starts with a face mask requirement will continue that requirement for all dates. If an event health policy changes after you have registered and you are no longer comfortable attending, please contact us for a refund.
If you feel unwell or experience symptoms related to COVID-19 before any event, please refrain from attending. Contact us and we will refund your admission.
If you test positive for (or strongly suspect you have) COVID-19 within 5 days following an event you attended, please contact us in order to allow for contact tracing. The notification to other attendees will keep your identity anonymous.
MWCSC will cancel and/or suspend events:
- When a public health order requires it or makes running a dance event impractical.
- When the risk of COVID-19 spread is at a level that vaccinations and masks do not provide sufficient protection for attendees.
- When necessary volunteers are unwilling or unable to run the event due to the risks involved.
I acknowledge that a risk of exposure to COVID-19 exists in any gathering place where people are present, including at social dances. By attending an event put on by the Madison West Coast Swing Club, I voluntarily assume all risks related to exposure to COVID-19 and agree to waive all claims for COVID-19 related illnesses and damages against the Madison West Coast Swing Club and its board members and volunteers.
The MWCSC Board of Directors maintains sole discretion over these policies and the waiver, which are subject to change as the pandemic evolves.
